Bulk User Upload: Set Up Your Team in a Single Step

Optimize your company’s management and configure your platform efficiently. With Clara, you can add all your team members simultaneously by uploading a single file, eliminating the need to register profiles one by one.

Step-by-Step Guide

  1. Navigate to Users From your main administrator dashboard, go to the Users section on the left sidebar menu and click the Add members button. 

  2. Select the Bulk Option In the side menu that appears on your screen, select Add everyone at once

  3. Choose How to Start The platform offers two options to process your information:

    • Use our template: Download the pre-formatted file, fill it out with your team's details, and upload it again. This is the ideal option if your data is not yet structured.

    • Let us prepare it for you: Upload any file you currently use in Excel, Google Sheets, or your HR system. Our system will automatically map the columns for you.

  4. Upload Your File Drag and drop your document directly into the upload area on the screen, or click Select file. Clara will immediately begin reading and validating the information. 

  1. Review and Correct Errors On-Screen Once the validation is complete, you will access the Review imported users dashboard:

    • The top counter displays a summary of Ready and Not ready records, broken down by assigned roles (Administrators, Managers, Accountants, or Staff).

    • Use the quick filters to focus exclusively on the rows containing errors.

    • Click on any row marked with an error indicator to edit the affected field directly on your screen (such as an invalid email format or incorrect role). There is no need to exit Clara or modify your original file.

    • If a record requires further details that you cannot fix at the moment, click the trash icon to remove it. This will not affect the rest of your ready-to-upload users. 

  2. Create Users and Send Invitations Once all information is validated to your satisfaction:

    • If you prefer to proceed while skipping records with pending observations, click Create users to add only those who are ready. The system will disregard rows with errors.

    • If you corrected all details, the entire list will turn green. Click Create users to process your entire team.

    • Finally, confirm the action by clicking Send invitations. Each team member will receive an automated email to activate their account. 

       

Frequently Asked Questions

What happens if my file has formatting errors? Clara performs an automatic validation during upload and displays specific, row-by-row details. You can flexibly correct each field directly on the screen without having to edit and re-upload your original document.

Can I add team members with different roles in the same file? Yes. You can structure your document to simultaneously include administrators, managers, accountants, and staff in their respective rows.

What should I do if there are errors I cannot fix right now? You can remove those specific rows using the delete icon in the review panel. The system will process the remaining profiles immediately, and you can manually register the missing users later.

What happens if a user already has an active Clara account? The system will detect the duplicate email and mark that row as invalid. You can remove it from the workflow to seamlessly continue onboarding the rest of your team.

Is there a limit to how many people I can register in a single upload? There is no restriction on the number of team members you can include in your file, as long as the total CSV file size does not exceed 50 MB.
