How to configure the reimbursement module? (Admins only)

Configuration of the Reimbursement module.

This article is intended for users who have an Administrator role in Clara.


If you have Administrator access, setting up the Reimbursement module is an important step to ensure that refund requests are processed efficiently and in accordance with your company's expense policy.

The basics:

  1. Make sure you have created your collaborators' users on the platform; This is the first essential step so that all your employees can request a refund. If they do not have a user created, they will not be able to access the platform or manage their requests. You can do it in the “Team” section. We share how to do it in a simple way:

  2. Configure your approval flows according to your company's expense policy in the settings button on the top right. We show you how to do it:

  3. All employees have default access to the Refunds module; no need to grant additional access.

  4. To give access to members of the finance department or any person responsible for managing refund payments, regardless of their role within Clara, enable the "Reimbursement management" section.

¿What is Reimbursement management?
The Reimbursement management view allows Administrators and designated users to:

  • View all company reimbursement requests and track their current status.
  • Access the "Pending Payment" tab, where all approved refund requests that are ready for payment are displayed. Administrators and users with this access can mark requests as paid or reject them if necessary. Bulk action is also available in the control panel.
  • Optional payment details, such as payment date, item, payment method, and additional notes, can be added to record payment information. This helps ensure full control over the status of the company's reimbursements.
  • Download a CSV file with all payment related information, providing a clear reference to track and manage reimbursement payments.

¿How to grant access to Reimbursement management?

  • Go to the section: Team > Select the user you want to grant permission to Reimbursement management > Choose "Reimbursement Management" in the section space > Save changes.

  • Any type of role can have access to Reimbursement Management; It's up to you, the administrator, to decide who should have it. This access can be removed whenever desired by following the same instructions.

  • All administrators have access to this view by default.
